PostRoost

Social media calendar template (Excel and CSV)

Plan a month of posts in a spreadsheet: one row per post with date, time, caption, networks, media, alt text, link and first comment, plus pillar, status and owner. A month overview counts it all for you.

Free, no sign-up or e-mail needed. The files open in Excel, Google Sheets, LibreOffice or any PDF reader.

What is inside

SheetWhat it does
PostsOne row per post. The first nine columns (date, time, caption, accounts, media, alt, link, first_comment, title) are the posting details; pillar, status, owner and notes are for planning. Pillar and status have drop-down lists.
OverviewCounts posts per content pillar and per status, the total, posts without media and images without alt text.
ListsYour content pillars; edit them and the drop-downs and overview follow.
How to useShort instructions for each column.

The CSV contains the nine posting columns with three example rows. It is saved as UTF-8 so accents and emoji survive when you open it in Excel.

How to use it

  1. Delete the three example rows (they are fictional).
  2. Enter fixed dates first: launches, sales, events, days the business is closed.
  3. Fill the rest of the month, rotating your content pillars. Keep an eye on the Overview: a month that is 80% product posts reads like an advert.
  4. Write alt text for every image as you go; the Overview counts the ones you missed.
  5. Mark each post’s status as it moves from idea to ready.

Using it with PostRoost

The posting columns match PostRoost’s bulk upload, and the planning columns are ignored on upload. Upload the workbook (the Posts sheet must stay first) or the CSV, check the rows PostRoost flags, and the month is scheduled. Bulk upload is included from the Essentials plan.

Frequently asked questions

10 questions

What is in the calendar template?

A Posts sheet with one row per post, an Overview that counts posts per pillar and status, a Lists sheet for your pillars and a How to use sheet.

Can I use it in Google Sheets?

Yes. Upload the Excel file to Google Drive and open it with Google Sheets, or import the CSV.

What is the difference between the Excel and CSV files?

The Excel workbook has all four sheets, drop-downs and the overview. The CSV has only the nine posting columns with three example rows.

How do I change the content pillars?

Edit them on the Lists sheet; the drop-downs and the Overview follow.

Can I upload the file to PostRoost?

Yes, with bulk upload from the Essentials plan. Keep the Posts sheet first in the workbook; the planning columns are ignored on upload.

Which date and time formats work for upload?

Dates such as 2026-11-03, 11/3/2026 or an Excel date; times such as 10:30 or 6:15 PM, in the client's time zone. A missing time defaults to 10:00.

How do I target specific networks in a row?

Put network names, @handles or account names in the accounts column. Leave it blank to use every active account for the client.

How do I add several images to one post?

Put the image links or file names in the media column, separated by a vertical bar. Use the same separator in the alt column for one description per image.

Why does the Overview count images without alt text?

So you catch them before review. Alt text makes images accessible to people using screen readers.

Will accents and emoji survive in the CSV?

Yes. The CSV is saved as UTF-8, so Excel and other apps keep accents and emoji intact.
